Tips

  • Set the registration deadline at least 3 weeks before the show. That gives you time to confirm performers, collect act details and group appearances into a realistic running order.
  • Allow 5 to 10 minutes between acts for microphones, music and stage changes. Send the final programme to the presenter, jury and volunteers at least 3 days before the event.
  • Test the complete sound setup with the laptop, speakers, microphones, mixer and every audio cable at least 2 hours before doors open. Keep extension leads, power strips and cable mats ready rather than improvising on the day.
  • Prepare a separate arrival point for performers, with clothing racks, hangers and a changing area. Tell participants when to arrive—usually 60 to 90 minutes before their performance—so late arrivals do not disrupt the programme.
  • Print the running order, judging criteria, participant information and route details. Keep at least 3 printed copies of the schedule: one for the presenter, one for the technical operator and one at the jury table.
