  • Set a registration deadline at least 7 days before the event. Use the final list to confirm each act, collect music files, record dietary requirements and create performer name tags.
  • Build the running order before printing anything. Leave a short changeover slot between acts, then print the program booklets, signage and jury scoring forms only after the schedule is fixed.
  • Create one technical record for every performance. Note whether the act needs a wireless microphone, microphone stand, DI box, AUX connection or a laptop, and test every file before doors open.
  • Plan the venue in separate zones: stage sections and steps on stage, jury tables facing the performances, chairs for the audience, and changing room screens or clothes racks for performers. Mark cables with trays and keep extension cords away from walkways.
