Sunset picnic shopping list

A sunset picnic needs more than sandwiches and a blanket. Plan food that travels well, enough cold drinks for the full afternoon, and serving equipment that works outdoors without a kitchen nearby. You will also need practical items for serving, keeping food chilled, lighting the space after sunset, and carrying everything to the venue. Use this list alongside your guest count, and shop for fresh food, ice and drinks close to the event rather than leaving them until the last hour.

Tips

  • Plan 2–3 drinks per person for the first hour, then 1 drink per person per hour. Include extra water, especially if guests will sit outside in warm weather.
  • Buy ice or prepare enough ice packs to keep every cooler cold from arrival until the picnic ends. Chill drinks before packing them; loose ice alone will not cool warm bottles quickly.
  • Allow 1 plate, bowl, cup, knife, fork and spoon per guest, plus 10% extra. For 20 guests, that means 22 of each reusable item, before counting serving utensils.
  • Pack sandwiches, wraps, salads and dips in sealed food containers and bring separate serving platters, tongs and spoons. This prevents shared serving utensils from being buried under blankets or left at home.
  • Bring at least one LED lantern for each food or seating area and test string lights before leaving. Charge power banks and the portable speaker the day before, not just on the afternoon of the picnic.

Frequently asked questions

What food should I buy for a sunset picnic?
Choose food that can be eaten cold and carried easily: sandwiches or wraps, salads, dips, fruit and simple snacks. Plan roughly 1 main portion, 1–2 side portions and 2–3 small snacks per guest, then adjust for the length of the picnic.
How many drinks do I need for a sunset picnic?
Plan 2–3 drinks per person for the first hour and 1 drink per person for each additional hour. Add water separately and buy at least 10% extra if the weather is warm or guests cannot easily refill their bottles.
How many plates and cups do I need for a picnic?
Allow one plate, bowl, cup, knife, fork and spoon per guest, plus 10% spare. For 20 guests, pack 22 of each basic item and enough serving spoons, platters and tongs for every shared dish.
When should I buy food and ice for a sunset picnic?
Buy non-perishable supplies and drinks 1–2 days ahead. Shop for fruit, vegetables, bread and other fresh ingredients the day before, and get ice or fully frozen ice packs on the day of the picnic, shortly before leaving.
