  • Set the date and route before opening registration. Allow enough time to confirm the venue, permits, insurance and traffic arrangements, then publish the route with the registration form.
  • Plan volunteer coverage by job, not just by total headcount. Assign separate people to traffic control, water stations, registration, timing, first aid support and the volunteer briefing.
  • Order race numbers and finisher medals as soon as registration numbers are becoming clear. Leave at least 2–3 weeks for delivery, sorting bibs and preparing safety pins.
  • Test the timing and communication setup before race day. Check stopwatches, laptops or tablets, phones, walkie-talkies, power banks, speakers and the microphone together rather than separately.
  • Do a full materials check the day before setup. Include route arrows, cones, barriers, course tape, vests, tables, tents, waste bins, reusable cups and catering supplies, then pack them by location.
