- Plan two reusable cups per person for the first three hours, plus 10% extra. Add coffee cups, plates, forks, knives, and spoons based on the number of people you expect to serve, not just registered dancers.
- Bring at least one extension cord and one power strip for each separate equipment area, and add gaffer tape before event day. Tape every cable that crosses a walking route as soon as the DJ set, speakers, microphones, and lights are installed.
- Prepare one bib number for every registered competitor plus 10 spare numbers. Keep a marker, safety pins, and a small envelope or box at registration so replacements do not delay the schedule.
- For the judges, set aside one judgesβ table, one chair per judge, and printed jury forms with at least two spare copies per judge. Put the table where judges can see the full dance floor without people walking between them and the performers.
