  • Measure the course before opening registration, then record hazards such as crossings, narrow sections and uneven ground. This gives you time to arrange traffic measures and place directional signs where runners need them.
  • Set a firm deadline for registrations and dietary requirements, ideally several days before the event. Use the final list to prepare bib numbers, participant lists, catering quantities and checkpoint assignments.
  • Assign every checkpoint and running guide to one named volunteer, then print instructions for each position. Give volunteers safety vests, walkie-talkies or a megaphone and a clear reporting method for incidents.
  • Check power and sound equipment before event day, including portable speakers, wireless microphones, extension cords and power banks. Test the microphone at the starting location rather than discovering a connection problem during the briefing.
  • Prepare the finish area as a separate work zone: registration tables, tents, seating, waste bins, drinking cups, water jugs and coolers should be collected and sorted before the first runner arrives. Keep route materials, catering supplies and bibs in labelled groups so setup does not delay registration.
