Spring run checklist: organise the race step by step

A spring run needs more than a marked route and a start time. You need to secure the date and course, arrange permits and traffic control, set up registration and timing, and give volunteers clear jobs. The final week is when forgotten details become problems: route signs, bib numbers, power supplies, weather checks and food all need a fixed owner. Use this checklist to work from the first route decision through race-day setup and the finish.

Tips

  • Start with the date and route before opening registration. Allow time for the permit, traffic plan, nearby-resident notice and confirmation of both the start and finish locations.
  • Set a registration deadline that leaves room to process entries, collect dietary requirements, print bib numbers and prepare the final starting list. Do not leave number sorting until race morning.
  • Walk or cycle the full route before race day and count the signs, kilometre markers, cones and barriers needed. Check crossings, narrow sections and every point where runners could take a wrong turn.
  • Give each volunteer a written assignment and briefing, including arrival time, contact method and what to do if a runner is delayed or needs help. Reserve traffic controllers separately from general volunteers.
  • Test the practical setup at least one day ahead: timing equipment, microphones, speakers, laptop, printers, card terminals, charging stations and extension cords. Check the weather forecast again before shopping and preparing catering.

Frequently asked questions

How far in advance should I apply for a spring run permit?
Start the permit application as soon as the date and route are known, preferably several weeks before registration opens. The exact lead time depends on the authority, so treat the permit as an early planning task rather than a final-week check.
When should spring run registration close?
Close registration early enough to process entries and print bib numbers before race day; a practical buffer is 3 to 7 days. Use the final list to assign numbers, prepare timing and check dietary requirements.
How many volunteers do I need for a spring run?
The number depends on route length, crossings and participant count. Assign separate people for registration, water stations, route points, traffic control, timing and the finish, then add at least 2 backup volunteers for absences.
When should I check the weather for a spring run?
Check the forecast during the final week and again on the day before the run. Use the last check to confirm clothing, water-station supplies, tents, catering and any changes to the volunteer briefing.
