- Set the programme and match schedule before sending invitations. Give participants a clear registration deadline so you can print the final participant list and communicate team assignments before sports day.
- Check every equipment section separately at least 3β5 days beforehand. Count balls, cones, vests, nets, stopwatches and scoreboards, and replace or borrow anything missing before setup starts.
- Check the weather forecast twice: once 3 days before the event and again the evening before. Keep party tents, field marking materials and a revised wet-weather plan ready if conditions change.
- Prepare the water and first-aid station before teams arrive. Fill the water jerry cans, restock the first-aid kit and place reusable cups where participants can reach them without crossing the playing area.
