  • Set the date, route and start and finish locations before opening registration. Allow at least 2–3 weeks for registrations, sponsor information and volunteer assignments to settle.
  • Walk or ride the full route before the event and mark every hazard zone, rest stop and turn. Print route maps and prepare arrows or cones early enough to replace anything damaged or missing.
  • Group riders by starting time or ability after registrations close, then check the participant list against bib numbers, wristbands and receipts. Leave 1–2 hours before the start for final sorting and changes.
  • Assign separate people for traffic posts, first aid and bike repairs. At each rest stop, check that pumps, repair stands, inner tubes and repair kits are available before riders arrive.
  • Test the practical setup the day before: walkie-talkies, phones, speakers, microphone, lighting, extension cords and power banks. Keep spare charging options available because route teams may be away from mains power for several hours.
