Sponsored run checklist: what to arrange and when
A sponsored run needs more than a route and a registration form. You need time to secure permissions, build sponsor support, recruit volunteers and prepare safe checkpoints before participants arrive. This checklist takes you from choosing the date and route through registration, promotion, starter packs and race-day setup. It also covers details that are easy to leave until the last week, such as first-aid cover, dietary requirements, power for the sound system and clear route markings.

Tips
- Set the date and route before approaching sponsors or opening registration. Allow time to check permissions, notifications, insurance and whether the start and finish location can support tents, tables, barriers and participant flow.
- Treat the route as a separate safety project. Recheck it close to race day, assign a volunteer to every checkpoint and place arrows, signs, cones or barriers where runners could otherwise take a wrong turn or enter a traffic area.
- Close registration early enough to print the participant list, assign bib numbers and assemble starter packs. A practical cutoff is 3β5 days before the run, especially if dietary requirements or personalised sponsor forms are involved.
- Build the volunteer schedule around specific jobs rather than general availability. Confirm route marshals, registration support, first-aid staffing, finish-line help and people responsible for sound, water, waste and equipment collection.
- Test the event-day equipment before loading it. Check the microphones, speakers, mobile sound system, extension cords, power strips, walkie-talkies and power banks together; missing cables or flat batteries are difficult to replace once the run has started.
Frequently asked questions
- How far in advance should I organise a sponsored run?
- Start planning at least 8β12 weeks ahead. That gives you time to record the date and route, arrange permits and notifications, approach sponsors, recruit volunteers and promote registration without rushing the final checks.
- When should sponsored run registration close?
- Close registration 3β5 days before the event if you need to print a participant list, assign bib numbers and prepare starter packs. Earlier closure may be needed when sponsor forms or dietary requirements require manual processing.
- How many volunteers do I need for a sponsored run?
- Plan one volunteer for each route checkpoint, plus separate people for registration, the start and finish, first aid, refreshments and equipment. For a small run, begin with at least 8β12 volunteers and increase that number for a longer or busier route.
- When should I check the sponsored run route again?
- Check the route once during planning and again within 24β48 hours of the run. The final check should confirm signs, arrows, cones, barriers, road conditions, checkpoint positions and any changes caused by weather or local works.
