  • Confirm the venue opening time before assigning setup tasks. You need enough time to unload materials, arrange tables and chairs, connect cooking equipment and chill drinks before serving starts.
  • Ask for dietary requirements during registration and prepare allergen cards before the soup reaches the buffet. Keep the cards visible next to each dish rather than relying on volunteers to answer every question.
  • Check electrical capacity before bringing soup kettles, induction plates, coffee machines and kettles together. Count extension cords and power strips, and test the equipment while the venue is still empty.
  • Plan food preparation backwards from serving time. Washing and cutting vegetables, preparing the soup base and slicing bread all need to be finished before volunteers switch to reheating, buffet setup and guest welcome.
  • Set up the donation point before doors open, including a cash box, donation signs and a clearly marked table. Assign one volunteer to monitor it so the person serving soup is not also handling money.
