  • Set the date and program before inviting anyone, then allow at least 2–3 weeks for registrations, dietary information and musical-background details to come in.
  • Collect participant information and assess musical background before selecting numbers and routines. This gives coaches time to adapt parts, lyrics and rehearsal materials to the group.
  • Test the mixer, active speakers, keyboard, projector and every microphone at least 24 hours before the workshop. Pack power strips, extension cords and spare rechargeable batteries with the equipment.
  • Prepare sheet music, lyrics, name badges and the attendance list before the day itself. Keep printed music and registration materials in separate, clearly labelled folders so the reception desk is ready quickly.
