- Confirm speakers before sending invitations, and set a clear deadline for presentation titles, biographies and slide files. Late changes affect the printed programme and the technical check.
- Close registration several days before the seminar so you can print name badges, prepare attendance figures and give the caterer an accurate number. Keep dietary requirements with the registration list, not in a separate inbox.
- Test the projector, screen, laptop, clicker and wireless microphones in the actual room before guests arrive. Bring the presentation files on at least one USB stick and check every HDMI connection.
- Send parking and arrival information with the reminder, ideally 2β3 days before the event. Include the registration start time, room name and any access instructions so the desk is not handling avoidable questions.
- Set up registration, chairs, tables and the stage table before arranging the buffet and coffee service. Leave clear cable routes and test power strips and extension cords before switching on the presentation equipment.
