School camp shopping list
A school camp needs more than food and sleeping gear. This shopping list covers the equipment for shared meals, outdoor activities, storage, lighting, charging and basic first aid. Plan quantities from the final participant list, then add a small reserve for breakage, spills and unexpected delays. Check the campsiteβs facilities before buying or packing cooking equipment, power supplies and furniture, because some camps provide these already.

Tips
- Count reusable plates, bowls, cups and cutlery against the confirmed participant list, then pack at least 10% extra. For 40 participants, that means 44 of each item so one missing or dirty piece does not stop a meal.
- Plan kitchen capacity around the largest meal, not the average one. A camp cooking for 40 people may need more than one large cooking pot, saucepan or frying pan, plus enough serving spoons, platters and cutting boards to keep preparation moving.
- Give every shared item a storage place before departure. Label storage crates for kitchen gear, tableware, activity materials and electronics so equipment can be found quickly and checked back in after camp.
- Prepare lighting and charging before leaving. Pack flashlights and spare batteries for each sleeping group, and test power banks, extension cords and power strips at least one day before departure.
- Keep the first aid kit easy to reach rather than buried in luggage. Check it before loading, and place it with the adult responsible for medical information and emergency contacts.
Frequently asked questions
- How much tableware do I need for a school camp?
- Use one plate, bowl, cup and cutlery set per participant, plus at least 10% extra. For 30 participants, pack 33 of each reusable item so replacements are available during meals.
- How much food should I buy for a school camp?
- Base the order on the confirmed participant list, including supervising adults, and add a 10% buffer for snacks and seconds. Finalise dietary requirements and medical information before placing the grocery order, ideally 5 to 7 days before departure.
- How many flashlights and batteries should I bring?
- Provide at least one flashlight for each sleeping group or supervising adult, with spare batteries for every flashlight. Test them 1 to 2 days before departure, not when the group is already at camp.
- When should I pack and check school camp equipment?
- Collect and check kitchen equipment, sports gear, game materials and electronics 2 to 3 days before departure. Load luggage and materials only after the groceries, documents and participant information have been checked against the final list.
