School camp shopping list

A school camp needs more than sleeping bags and food. You also need enough reusable tableware, cooking equipment, coolers, washing-up supplies and shared furniture for the whole group. Count items by participant and by meal, then check what the accommodation already provides before shopping. This list supports the practical preparation of a camp with overnight stays, group meals and organised activities, so you can spot missing equipment before departure day.

Tips

  • Count reusable plates, bowls, cups and cutlery for every participant, plus a small spare set. For a group of 30, prepare at least 33 place settings so lost or dirty items do not stop the next meal.
  • Plan cooler space around the menu, not just the number of people. Pack separate coolers for drinks and perishable food, and fill them only after the final shopping run so chilled items stay cold.
  • Check sleeping gear against the room assignments at least one week before camp. Each participant needs a sleeping mat and sleeping bag; add cushions, blankets or duvet covers only where the accommodation does not supply them.
  • Prepare cooking and serving equipment for the largest meal. Large pots, frying pans, cutting boards, kitchen knives, mixing bowls, measuring cups and serving spoons are easy to overlook when several groups cook at once.
  • Do not leave washing-up and waste supplies until the final day. Set out washing-up tubs and waste bins before the first meal, and bring enough reusable bags or liners for every day of the camp.

Frequently asked questions

What do I need to buy for a school camp?
Plan for food, drinks, reusable plates, bowls, cups and cutlery, cooking equipment, coolers, washing-up tubs and waste bins. For overnight stays, check sleeping mats, sleeping bags, cushions, blankets and duvet covers for every participant at least 7 days before departure.
How many cups and plates do I need per child at camp?
Prepare one plate, bowl, cup, knife, fork and spoon per child, plus around 10% extra. For 30 children, that means 33 of each item where possible, especially cups and cutlery that are easily misplaced.
How much food and drink should I bring for a school camp?
Use the number of participants, the number of meals and the planned activities to calculate quantities. For drinks, allow roughly 2 to 3 servings per person during the first hour of an active arrival or outdoor activity, then adjust for the rest of the day and the weather.
When should I finish the school camp shopping?
Buy non-perishable food, kitchen supplies and disposable liners 3 to 7 days before camp. Buy fresh food as late as practical, ideally the day before, and fill the coolers immediately before transport.
