Running race shopping list
A running race needs more than bib numbers and medals. You will need clearly marked route equipment, a workable registration desk, drinks for runners and volunteers, and power for timing and announcements. Buy or borrow disposable cups, cones, signs, tables, barriers and first-aid supplies early, because several items may need ordering or hiring. Tips
- Order bib numbers, start-number bands, medals and safety pins at least 3β4 weeks before race day. Buy 5β10% extra safety pins and prepare one complete spare race-number pack for every 25 participants.
- Plan drinks by race size rather than by guesswork: allow roughly 500β750 ml per runner for a short race, plus 2β3 drinks per volunteer. Chill the drinks in coolers the day before and keep extra cups at the finish area.
- Prepare route signs, arrows and kilometre markers for every decision point, not just the start and finish. Take at least 10% more traffic cones and signs than your route plan requires in case of wind, damage or a last-minute diversion.
- Set aside one table for registration and another for medals and prizes, with clipboards, markers and printed participant lists ready before volunteers arrive. Provide one chair per desk volunteer and a clothes rack if participants need somewhere to leave layers.
- Check the PA system, wireless microphones, speakers, extension cords, power strips and power banks at least 48 hours before the race. Bring a handheld megaphone as a backup, and keep timing equipment and spare batteries separate from the finish-line supplies.
