Tips

  • Prepare one bib number and at least two safety pins per runner, plus 5–10% extra pins for replacements. Sort the bibs before race day so registration volunteers are not searching through a mixed stack.
  • Buy or prepare one clear route marker for every turn, junction or decision point, and add at least 10% spare arrows. Kilometer markers should be checked during the route walk rather than placed from memory.
  • Plan one table for registration and separate tables for equipment, refreshments or medals where needed. For a field of 100 runners, allow at least two registration volunteers and keep spare paper, pens and power banks at the table.
  • Pack a finish-area backup kit: extra medal ribbons, safety pins, tape, whistles and batteries or charged power banks. Test the microphone, sound system, printer and stopwatches at least one day before the race.
  • Do not leave traffic equipment until race morning. Count barriers and cones by route position, label volunteer kits, and keep a written contact sheet and printed instructions in case phones lose signal or batteries run flat.
