- Prepare one bib number and at least two safety pins per rider, plus a small extra batch for damaged or lost numbers. Print the registration list before event morning so the desk does not depend on a single laptop or printer.
- Plan route marking by road section rather than buying signs at random. Use kilometer signs at planned intervals, and keep spare route arrows, traffic cones, barrier tape, and reflective vests with the route team.
- Pack a repair kit for every support vehicle or checkpoint: a pump, bike pump, spare road bike inner tubes, tire levers, and a bike multitool. A single pump at the start is not enough if riders are spread across the route.
- Allow power for the registration desk and communications. Bring an extension cord, power strip, power bank, and spare bicycle light, and charge radios and the megaphone before volunteers arrive.
