  • Confirm the date and location before sending invitations, then leave at least 2–3 weeks for guests to register and submit dietary requirements. Use the final guest list for seating, name badges and catering numbers.
  • Collect presentation photos and speeches at least 2 weeks before the party. Test the presentation on the actual laptop, screen and sound setup no later than 2 days beforehand.
  • Confirm the catering details 3–5 days before the event, including the final number of guests, dietary needs, serving time and whether plates, cutlery and serving platters are included.
  • Plan the room in zones: seating, buffet, drinks, coats and gifts. Set out tables, chairs, tablecloths and signs before guests arrive so the buffet and drinks table do not block the programme or guided tour.
  • Do the shopping and chill drinks 1 day before where possible. On the day, prepare snacks, cut fruit and vegetables, set out sauces and dips, and allow at least 30 minutes to check the microphone, speakers and presentation.
