  • Confirm the date, location and room capacity before publishing the invitation. Allow at least 2–3 weeks for residents to register and for you to collect dietary requirements.
  • Book speakers and facilitators before you set the final programme. Ask for presentations and supporting documents at least 5 working days before the meeting, leaving time for a technical check.
  • Plan the room around the programme: place the reception desk near the entrance, leave clear sightlines to the projection screen, and provide enough tables and chairs for registered residents plus a small buffer.
  • Check every presentation with the laptop, projector, screen, speakers, wireless microphones, HDMI cables and presentation clicker before residents arrive. Test rechargeable batteries and keep extension cords and power strips accessible.
