- Plan one laptop, charger and workspace per participant, plus at least one spare laptop or replacement charger if your group is larger than 10. Test every computer with the exercises and required software no later than the day before.
- Count connection points before shopping: allow one power socket per laptop and keep at least two extension cords, power strips and suitable HDMI adapters available for the teacherβs setup. Test the projector and screen before the room opens.
- Prepare printed worksheets for every registered participant, with 10% extra copies. Put one notepad, ballpoint pen and name sticker at each place so late arrivals do not interrupt the first explanation.
- Arrange the refreshment quantities from the registration list, including dietary requirements, at least 48 hours before the workshop. Chill groceries and fill water jugs before participants arrive, rather than during the opening session.
- Set aside USB sticks and computer mice as backups, especially for a beginner workshop. Keep the registration desk, teacherβs table and flip chart ready at least 30 minutes before the published start time.
