Photography workshop checklist

A photography workshop needs more than cameras and a presentation. You need a clear programme, confirmed participants, working equipment and enough time to prepare the practice setup. This checklist takes you from booking the room and opening registration to receiving participants on the day. It also covers details that are easy to leave too late, such as consent forms, dietary requirements, charged batteries, empty memory cards and testing the projector before the first lesson.

Tips

  • Set a registration deadline at least 7 days before the workshop. Use the final participant list to prepare name badges, handouts, folders and enough seats rather than relying on last-minute numbers.
  • Confirm the model and prepare consent forms before the practice session is announced in the final programme. Keep printed copies available at the reception table for anyone who still needs to sign.
  • Check every camera, lens, tripod, light, softbox, reflector and wireless flash at least 2 days beforehand. Charge all spare batteries, charge the laptop and projector, and erase memory cards before packing the equipment.
  • Test the presentation with the actual laptop, projector, screen and extension cords in the workshop room at least 1 day before the event. Gaffer tape should be ready for securing cables where participants will walk.
  • Plan the room in separate areas for reception, teaching and practical photography. Set up the tables and chairs before participants arrive, then prepare the photo corners, backdrop cloths, clothes racks and refreshments so the first exercise can start on time.

Frequently asked questions

How far in advance should I organise a photography workshop?
Start booking the room and teacher at least 4 to 6 weeks ahead. Open registration around 3 weeks before the workshop and close it 7 days before, so you have time to confirm participants and prepare materials.
How many cameras and lights do I need for a photography workshop?
Plan one camera per participant for hands-on practice, plus at least 1 spare camera if possible. For a basic lighting exercise, allow 1 to 2 lights, 1 softbox or modifier, and 1 reflector per practice area.
When should I charge batteries and format memory cards?
Charge all batteries and spare batteries 1 day before the workshop. Erase or format the memory cards after checking that any previous photographs have been saved, preferably no later than the evening before.
When should I send the photography workshop programme and route?
Email the programme, route and arrival details 3 to 5 days before the workshop, after the participant list is confirmed. Include the start time, what participants should bring and any information about the model practice session.
