- Set the competition format before sending invitations. Decide how many players each team has, how entries will be handled and when registration closes; publish the match schedule only after the final participant list is updated.
- Check the venue and playing area at least one week before the match. Confirm the court layout, mark boundaries clearly and keep measuring tapes, rakes and barrier tape at the score table rather than leaving them in a storage box.
- Prepare a weather plan 24 to 48 hours in advance. Check the forecast, inspect the party tents and decide where registration, drinks and scorekeeping will move if rain or strong sun affects the courts.
- Set up the registration table at least 45 minutes before the first match. Keep the participant list, pens, team assignments, rules and schedule together so late arrivals do not hold up the draw.
