  • Set the date and programme before opening registration, then allow at least two weeks for families to reply. Use the registration form to record attendance and dietary requirements in one place.
  • Assign one supervisor to each activity and give them the final visitor list and programme before the event. A short briefing 30 minutes before arrival helps everyone know where to stand and what to do.
  • Check rooms, grounds and power access at least one week ahead, especially if you are using a party tent, speaker, microphone, extension cord or power strip. Test the equipment before guests arrive rather than during introductions.
