Pamper day checklist: what to arrange and when
A successful pamper day depends on more than booking treatments. You need a clear programme, timed appointments, allergy and dietary information, prepared treatment rooms and a comfortable shared space. This checklist takes you from choosing the date and venue to setting out refreshments and checking the final details. Use it to keep registrations, volunteers, supplies and room setup moving in the right order, without leaving essential preparation until the morning itself.

Tips
- Set the programme before sending invitations. Include the treatment options, appointment lengths and any shared activities so guests know what they are signing up for.
- Close registrations early enough to build the treatment schedule. Allow at least 2–3 days to check allergies, dietary requirements and appointment clashes before sending participant information.
- Prepare separate zones for treatments, eating and relaxing. Partitions, treatment tables, stools and mood lighting are easy to overlook, especially when the group room also serves as the buffet area.
- Check treatment supplies and catering stock together the day before. Confirm that serving dishes, glasses, water jugs, coffee equipment, hot trays and coolers are clean and available before shopping.
- Finish the room setup before guests arrive. Set out the programme and participant list, chill drinks, test the Bluetooth speaker and use extension cords safely so volunteers are not solving practical problems during appointments.
Frequently asked questions
- How far in advance should I plan a pamper day?
- Set the date and reserve the venue at least 4–6 weeks ahead. Send invitations once the programme and treatment options are confirmed, then keep the final 2–3 days for checking registrations, allergies and supplies.
- How do I schedule treatments for a pamper day?
- Create one appointment slot per participant and add at least 10 minutes between slots for cleaning, changing supplies and late arrivals. Send each person their appointment time with the participant information, rather than relying on a schedule displayed at the venue.
- What should I check the day before a pamper day?
- Check the shopping list, treatment supplies, dietary requirements and allergies, then confirm that rooms, treatment tables, linen and catering equipment are ready. Chill drinks and prepare printed materials the day before whenever possible.
- When should I set up the pamper day venue?
- Complete tables, chairs, treatment areas, buffet setup and decorations at least 1–2 hours before the first guest arrives. Leave a final 30-minute check for music, drinks, lighting, room temperature and the appointment list.
