Olive Oil Tasting Checklist

An olive oil tasting needs more than a selection of bottles and some bread. You need the final guest count, tasting forms, sample glasses, water, seating and a clear order for serving the oils. Use this checklist to work backwards from the event, so dietary requirements, signage and registration are handled before guests arrive. It also helps you keep the oils in good condition and avoid a rushed table setup.

Tips

  • Confirm the final number of guests at least 3–5 days before the tasting. Use that number to check sample glasses, water glasses, plates, snacks, forms and seating rather than relying on the original registration list.
  • Choose the tasting order before the event and label each station clearly. A simple progression from lighter to more intense oils prevents guests from tasting in a confusing sequence.
  • Store the olive oil in a cool, dark place until the tasting, and avoid leaving bottles beside heaters, windows or strong lights. Bring out only what you need for the current session.
  • Prepare bread, snacks and dietary alternatives before guests arrive, but keep them separate from the tasting stations. Strong flavours, crumbs and shared serving utensils can affect how the oils are assessed.
  • Finish the room setup at least 30 minutes before registration opens. Test the speaker and lighting, place the forms and name badges at the registration desk, and check that every table has its glasses, water and serving equipment.

Frequently asked questions

How many olive oils should I include in a tasting?
Plan for 4–6 oils for a standard tasting. More than 6 can make it difficult for guests to compare flavours, especially if the session lasts less than 90 minutes.
How much olive oil do I need per person?
Allow about 15–20 ml of each oil per person for tasting. For 20 guests and 5 oils, that is 1.5–2 litres in total, with a little extra for spills and refills.
How long should an olive oil tasting last?
Allow 60–90 minutes for the tasting itself, plus 30 minutes for registration and settling in. Keep at least 30 minutes before opening time for final setup and equipment checks.
When should I order the olive oil and tasting forms?
Order them at least 2 weeks before the event, especially if the oils come from several producers. This gives you time to replace a delayed delivery, print test forms and confirm the final tasting order.
