  • Confirm technical requirements with every speaker at least 10 days before the conference. Collect presentations early enough to test video, sound and slide formats on the event laptop, and keep the required HDMI cables and adapters together.
  • Close registration and create the final guest list 2–3 days before the event. Use it to print name badges, prepare seating or networking tables, and give the caterer the final headcount and dietary requirements.
  • Send the attendee reminder 3–5 days before the conference with the venue route, start time, transport details and registration instructions. Route signs are easy to overlook, especially when the venue has several entrances or rooms.
  • Open the venue at least 2 hours before guests arrive. Use that time to arrange reception, buffet and network tables, test the projector, screen, microphones, speakers and mixer, and place extension cords and power strips safely.
