Tips

  • Prepare one bib number and one bib strap for every registered runner, plus at least 5% extra for late changes or damaged numbers. Sort them in advance so registration does not become a bottleneck.
  • Plan course marking by walking the route and counting every turn, checkpoint and crossing. Keep spare directional signs, barrier tape and traffic cones ready; a small reserve is more useful than discovering a missing sign on race morning.
  • Give each volunteer who controls traffic or supports the route a safety vest and whistle. Put traffic barriers and cones at the places where runners and vehicles could conflict, and brief the team before setup begins.
  • For drinks, use water dispensers or coolers at the planned station and provide reusable cups; prepare enough capacity for the registered field rather than relying on one small container. Chill drinks before the event and fill thermos flasks for hot beverages if coffee is being served.
  • Test the portable speaker, wireless microphone, extension cords and power strips before the event, then pack a backup set of pens and a stopwatch. Power access and small stationery items are easy to overlook but can disrupt announcements, timing and registration.
