- Prepare the quiz rounds and music clips early enough to listen through every question twice: once for accuracy and once for volume and playback problems. Keep the final clips and presentation together on the quiz laptop.
- Close registrations before assigning teams, then record dietary requirements at the same time. Prepare one team sign, scorecard, answer-form set and pen set for each team, plus a small spare stack.
- Reserve the projector, screen, speakers, microphone, cables, power strips and extension cords as one equipment set. Check that the laptop connections match the venue equipment at least one day before the quiz.
- Plan the room around team tables, clear sightlines to the projection screen and a reception desk near the entrance. Set out the prize table separately so registration, scoring and prizes do not compete for the same space.
- Finish food and drink preparation before the technical test. Chill drinks, place shelf-stable snacks, fill water glasses and prepare coffee equipment so the host can focus on reception and explaining the first round.
