Music Quiz Checklist: What to Arrange and When
A music quiz runs smoothly when the questions, sound and room setup are ready before guests arrive. Start by confirming the date and venue, then build the quiz rounds, select clips and check every answer and score. In the final week, handle registrations, team assignments, dietary requirements and backups. On the day, allow time to test the laptop, projector, speakers and microphone before setting out answer forms, drinks and buffet items.

Tips
- Prepare more questions and music clips than you expect to use, then remove weak or overly difficult ones after checking the answers. Keep a separate scoring key so the jury can settle disputes quickly.
- Back up the quiz presentation, audio clips and answer key in at least two places before the event. Store one copy on the quiz laptop and another on a USB drive or accessible cloud account.
- Test the complete audio and projection setup before guests arrive, not just the individual devices. Play a full clip through the speakers, check microphone volume and keep spare cables, power strips and extension cords available.
- Finish team and table assignments before printing materials. Print enough answer forms for every round plus at least 10% extra, because misplaced sheets are harder to replace once the quiz has started.
- Plan the room setup around the quiz flow: leave a clear view from every table to the projection screen, place the judges' table where scores can be checked, and chill drinks at least 3 hours before serving.
Frequently asked questions
- How far in advance should I plan a music quiz?
- Confirm the date and venue at least 4 to 6 weeks ahead. Prepare the questions, clips and scoring key during the following weeks, and complete the technical test no later than the day before.
- How many music quiz questions do I need?
- Plan about 8 to 12 questions per round, depending on the number of rounds and the time available. Allow roughly 45 to 60 seconds for each clip or question, plus time for answers and scoring.
- How many teams should sit at each table for a music quiz?
- Aim for 4 to 6 players per team so everyone can contribute without crowding the table. Finalise the assignments at least 2 days before the event, after registrations and dietary requirements are collected.
- How early should I set up the music quiz equipment?
- Start room and equipment setup at least 90 minutes before guests arrive. Reserve the final 30 minutes for testing the presentation, music clips, projector, speakers and microphone as one complete system.
