  • Check film rights before announcing the programme. Allow at least 1–2 weeks to confirm that each title can be shown publicly, and keep the approved film files together on the laptop or USB stick.
  • Send invitations early enough to process registrations and dietary requirements before shopping. Set a reply deadline 5–7 days before the event so you can plan seating, snacks and drinks for the actual headcount.
  • Run a complete equipment test at least 24 hours before the screening. Connect the laptop, projector, screen, mixer and speakers in the same order you will use them, then test the HDMI cables, extension cords and power strips.
