What to Buy and Bring for a Music Camp

A music camp needs more than instruments and sheet music. You are feeding people, setting up shared sleeping and rehearsal spaces, and keeping equipment working across several days. This shopping list covers the practical items that are easy to underestimate, from reusable tableware and serving equipment to cables, batteries and waste bins. Check quantities against your participant count, then add a small reserve for breakages, lost items and unexpected arrivals.

Tips

  • Plan at least one reusable plate, bowl, cup and cutlery set per person, plus 10% extra. Add mugs for hot drinks rather than assuming cups will cover every meal and rehearsal break.
  • For each rehearsal room, count the music stands, chairs and power points before shopping. Keep at least two spare instrument cables, extension cables and power strips available for equipment that ends up farther from the nearest socket.
  • Test the mixer, speakers, microphones, microphone stands and keyboard before the camp starts. Pack spare batteries and label cables with cable ties so setup does not turn into a daily search.
  • Buy or bring serving bowls, serving platters, serving spoons and jugs in proportion to the meal setup. One serving utensil per shared dish prevents queues and avoids using personal cutlery for communal food.
  • Set aside waste bins, coat racks and changing-room screens before participants arrive. These are often arranged too late, leaving coats, instrument cases and changing areas without a clear place during the first session.

Frequently asked questions

How many cups and plates do I need for a music camp?
Plan one reusable plate, bowl, cup and cutlery set per participant, then add 10% extra. For 40 people, that means 44 of each item where practical, plus mugs for hot drinks.
How many music stands should I bring to a music camp?
Count the players who need sheet music in each rehearsal group and provide one stand per player unless two people will share deliberately. Add at least two spare stands for late changes, damaged parts or an extra group.
What cables and power equipment are needed for a music camp?
Bring instrument cables, extension cables and power strips based on the room layout, with at least two spare instrument cables and one spare power strip. Test every cable and battery-powered device before the first rehearsal.
When should I buy the food and shared supplies for a music camp?
Buy shelf-stable food, tableware and setup supplies 2–3 days before the camp. Purchase fresh food as late as practical, and check dietary requirements and meal numbers before placing the final order.
