  • Set the date and programme before booking speakers, performers or guided tours. Allow at least 6–8 weeks for an evening with several rooms, external contributors and online registration.
  • Confirm the route through the museum before printing the programme or signage. Check artwork, room access, tour texts and maximum group sizes together so visitors are not sent through a closed or unsuitable area.
  • Close registration 3–5 days before the event if possible. Use the final participant list to prepare name badges, confirm dietary requirements and give the caterer an accurate headcount.
  • Test the laptop, projector, screen, speakers, wireless microphone, microphone stands, extension cords and power strips in the actual rooms at least 2 hours before guests arrive. Keep spare batteries and a backup presentation available.
  • Start chilling drinks and preparing snacks 2–3 hours before reception time, depending on storage space. Set out separate coffee cups, water glasses, wine glasses, plates, cake plates and cutlery so serving does not compete with guest check-in.
