- Check film viewing rights as soon as you choose the titles; permission can take longer than downloading the files. Keep the films in playback order on the laptop or USB stick at least one day before the event.
- Test the projector, screen, laptop, speakers, HDMI cable and remote control together in the actual room. A separate equipment check is not enough if the cable length, sound connection or power points differ on the night.
- Set the final attendee number before shopping and laying out chairs. Plan the seating, tables, side tables and coat storage around that number rather than relying on the registration total from earlier in the week.
- Prepare allergen information before serving popcorn and snacks, especially after collecting dietary requirements. Put the information where people choose food, not only at the entrance or coffee station.
- Finish the room setup before guests arrive: connect the sound system, tape down every cable, chill drinks and set out snacks. Keep spare batteries, extension cords and power strips ready so a small equipment problem does not delay the film.
