  • Check screening rights before sending invitations. Rights can take time to confirm, so do this as soon as the film and date are set rather than assuming a personal streaming subscription is sufficient.
  • Test the complete equipment chain at least one day ahead: media player, HDMI cable, projector, speakers, mixer and power connections. Keep spare batteries, extension cords and power strips available.
  • Close registrations and confirm the visitor count 3–5 days before the event. Use that number to adjust chairs, cups, plates, snacks and drinks, and collect dietary requirements at the same time.
  • Chill drinks several hours before guests arrive, not during setup. Put coolers or carafes near the serving area and open the snack table only after the main room and projection equipment are ready.
  • Pick up the venue keys early enough to allow at least 90 minutes of setup. Test the image and sound from the seats furthest from the screen, then check lighting so guests can move around without washing out the picture.
