- Arrange screening rights before sending invitations, then confirm the reservation once the venue and film plan are fixed. This prevents you from advertising a screening you cannot legally show.
- Check the video file and test the projector, screen, speakers, HDMI cable, adapter and laptop at least 24 hours before the event. Keep a backup film file available in case the main file will not play.
- Process registrations as they arrive and collect dietary requirements before shopping. Use the final confirmed guest count to decide how many snacks, reusable cups, plates and drinks to prepare.
