Movie night checklist: what to arrange and when
A movie night needs more than a film and a projector. You need time to check screening rights, confirm guests, test the video and subtitles, and make the room comfortable before anyone arrives. This checklist covers the planning sequence, from choosing the date and venue to setting out snacks and securing cables. Use it to avoid the problems that are easiest to miss: missing adapters, unchilled drinks, unclear registrations and equipment that only fails when the audience is seated.

Tips
- Check screening rights as soon as you choose the film. Do this before sending invitations, because a suitable venue and a confirmed guest list do not solve a rights issue at the last minute.
- Test the actual video file, laptop, projector, speakers and HDMI connection at least 24 hours before the screening. Test subtitles as well, then keep spare batteries and the required cables with the equipment.
- Confirm registrations and dietary requirements several days before the event. Use the final number to plan chairs, plates, glasses, snacks and drinks instead of estimating from the invitation list.
- Open and ventilate the venue before setup begins. Allow about 90 minutes to arrange tables and chairs, connect the screen and sound, prepare lighting, and solve cable or seating problems.
- Set out snacks and chill drinks shortly before guests arrive, not during the film. Tape every cable securely, keep serving utensils on the buffet table, and place the cinema list and name badges at reception.
Frequently asked questions
- How early should I start planning a movie night?
- Start at least 3 to 4 weeks ahead if you need to reserve a venue or check film rights. Send invitations after the film, date and location are confirmed, then keep the final guest count for food and seating.
- How long does it take to set up a movie night?
- Allow around 90 minutes for the room and equipment, plus extra time if the projector or sound system is unfamiliar. Open and ventilate the venue first, then test the film and subtitles before guests arrive.
- How much food and drink do I need for movie night?
- Use the confirmed registration count rather than the number of invitations. For drinks, plan roughly 2 to 3 servings per person for the first hour, then adjust for the total screening length and provide enough glasses, plates and serving utensils.
- When should I test the movie equipment?
- Test the video file, projector, screen, laptop, speakers, sound connection and subtitles at least 24 hours beforehand. Repeat a short sound and picture check after setup on the day, while there is still time to replace a cable or battery.
