Tips

  • Plan two to three drinks per person for the first hour, then one drink per person for every additional hour. Add extra water for officials, course staff and competitors waiting outdoors.
  • For a four-hour competition, allow one snack portion per person plus 10% extra. Keep separate serving platters and utensils ready for any dietary requirements collected during registration.
  • Provide one reusable cup per guest if you can wash and reuse them during the day; otherwise plan at least two cups per person. Put waste bins at the drinks area, seating area and parking or entrance.
  • Check the power plan at least one week ahead. List every coffee machine, kettle, sound system and microphone, then confirm that the available supply, extension cords, power strips or generator can handle them together.
  • Prepare one complete equipment check 24 hours before opening: count bib numbers, cones, obstacles, measuring tapes, stopwatches, scoreboards and lunge lines. Pack spare markers and batteries separately so a missing item does not stop the competition.
