  • Walk the complete route at the same pace you expect from participants, including every stop. Allow extra time for moving between readings and check whether signs, microphones or power banks are needed at specific locations.
  • Reserve both the starting point and the final location before publishing the programme. Confirm access times, seating, cloakroom space and whether tables, chairs or high tables can be set up in advance.
  • Book writers and readers before sending invitations, then build the timetable around their arrival and departure times. Share the final programme with them at least 7 days before the walk.
  • Ask for dietary requirements when processing registrations, not during arrival. Print the participant list and prepare texts, route maps and programme stands at least 1 day before the event.
  • Check the weather forecast 24 hours before the walk and again on the morning itself. Cool drinks, charge speakers and microphones, and place directional signs only after confirming the route is clear and permitted.
