Language Course Shopping List
Use this shopping list to prepare a language course without running short during registration, lessons or breaks. Plan one notepad, one pen and one name badge per participant, plus a small spare supply. Check that presentation equipment, power connections and serving items are ready before the venue opens. For a full-day course, calculate drinks for each break and arrange catering around the number of confirmed registrations and dietary requirements.

Tips
- Buy one notepad, one ballpoint pen and one name badge per participant, then add at least 10% spares. Extra supplies cover late registrations, damaged materials and forgotten stationery.
- Print one worksheet bundle per participant and prepare 5β10% extra copies. Bundle the materials before the course so registration staff can hand them out without sorting pages.
- For coffee and tea, plan 2β3 drinks per person during the first hour and 1β2 drinks per person for each later break. Keep hot water, coffee, tea and milk available in separate serving containers.
- Provide one water glass per participant and keep a reserve of at least 10% for replacements. If lunch or snacks are served, match plates, cutlery and serving utensils to the confirmed headcount rather than the room capacity.
- Test the laptop, projector, screen, microphone and portable speaker at least 24 hours before the first class. Bring the required extension cords and power strips, and check that the presentation can run without an internet connection.

- How much coffee and tea should I buy for a language course?
- For the first hour, allow 2β3 drinks per person. For every later break, allow 1β2 drinks per person; for 20 participants and two breaks, plan roughly 80β140 servings in total.
- How many course materials should I print?
- Print one complete worksheet bundle per participant and add 5β10% spare copies. For 20 registered participants, prepare 21β22 bundles.
- When should I test the equipment for a language course?
- Test the laptop, projector, screen, microphone and speaker at least 24 hours before the course. Do a second check when the venue opens, especially after connecting extension cords and power strips.
