What you need for a King’s Day celebration
A King’s Day celebration needs more than orange decorations and drinks. Plan what guests will eat from, where food and drinks will stay cold, and how you will power music or coffee equipment. This shopping list covers the practical supplies behind the plan, including tables, serving items, kitchen tools, cooling equipment and backup power. Check quantities against your guest count before shopping, then leave time to chill drinks and prepare fruit, sandwiches and snacks.

Tips
- Allow about 2–3 drinks per guest for the first hour, then 1–2 drinks per hour. Buy ice packs and set up coolers before guests arrive so drinks do not depend on a last-minute freezer run.
- For food service, provide at least 1 plate, glass and cutlery set per guest, plus around 10% extra. Serving platters, tongs and carafes are easy to overlook when the shopping list focuses only on food.
- Count every power-using item before the celebration: speakers, coffee machines, kettles and phone charging all need capacity. Pack extension cords, power strips and power banks at least one day ahead, rather than discovering a missing cable during setup.
- If food is prepared in advance, plan storage as well as preparation. Use cutting boards, suitable knives, storage bins, foil and cling film, and label prepared food with its contents and preparation time.
- Prepare for a wet forecast before the day itself. Check that party tents, tables and chairs fit the planned layout, and keep a separate dry place for food, electrical equipment and the printed run sheet.
Frequently asked questions
- What should I buy for a King’s Day celebration?
- Plan supplies in five groups: food and drinks, tableware, furniture, preparation equipment and power. For each guest, start with 1 plate, 1 glass and 1 cutlery set, then add about 10% extra for breakages and replacements.
- How many drinks do I need for King’s Day?
- Use 2–3 drinks per person for the first hour and 1–2 drinks for each additional hour. Add non-alcoholic options and keep drinks cold in coolers with ice packs before guests arrive.
- How much extra tableware should I buy?
- Buy around 10% more plates, glasses and cutlery sets than your confirmed guest count. For 50 guests, that means preparing at least 55 of each basic item.
- When should I shop for a King’s Day celebration?
- Buy non-perishable supplies, tableware, furniture and power equipment at least 3–7 days in advance. Shop for fresh food 1–2 days before the event, then chill drinks and prepare fruit, sandwiches and snacks on the day.
