- Confirm the venue and date before sending invitations, then keep registration details together so you can create a final guest list and record dietary requirements in one place.
- Prepare the song list before the event and print a copy. Keep backup music on a USB stick or laptop so the evening can continue if the karaoke system or song connection fails.
- Charge the karaoke machine, laptop, microphones and other powered equipment in advance. Test the projector, screen, speakers, mixer and HDMI connection before setup rather than waiting for guests to arrive.
- Allow at least 60–90 minutes for room setup. Arrange tables, chairs, coat storage, waste bins, the buffet and drinks table, then test every microphone at the actual singing position.
- Secure extension cords and power strips with cable mats before anyone enters the room. Check that cables do not cross walkways, especially between the karaoke system, projector and speakers.
