Karaoke Night Checklist

A karaoke night runs smoothly when the guest list, song selection and technical setup are settled before anyone picks up a microphone. This checklist takes you from invitations and venue planning to food, drinks and the final equipment test. Allow time to collect dietary requirements, check every karaoke number and test the screen, speakers and microphones together. On the day, set up the room before guests arrive so the first singer does not become your sound check.

Tips

  • Build the running order around short singing blocks and planned breaks. Leave at least 10 minutes between blocks for drinks, snacks and changing singers rather than letting the queue grow unnoticed.
  • Test the complete setup at the venue, not just the karaoke system at home. Check the laptop, HDMI connection, screen, speakers, wireless microphones and power strips together at least 2 hours before guests arrive.
  • Prepare the song list before the event and check every requested karaoke number. Keep a backup list of songs available offline in case the internet or a streaming service fails.
  • Set up a separate sign-in point with the final guest list and dietary notes. Keep the buffet, drinks and coolers away from the microphones and cables so spills do not interrupt the music.
  • Put spare microphone batteries, extension cords, power strips and gaffer tape where the organiser can reach them. Tape down cable runs before doors open and leave clear paths between tables, chairs and the singing area.

Frequently asked questions

How far in advance should I plan a karaoke night?
Start 3 to 4 weeks ahead if you need a venue or hired karaoke equipment. Send invitations early enough to collect replies and dietary requirements, then lock the final guest list and song requests about 7 days before the event.
How many microphones do I need for a karaoke night?
Plan for 2 microphones if duets and group songs are part of the evening. Have spare batteries ready and test both microphones through the speakers at least 2 hours before guests arrive.
How much food and drink should I prepare for karaoke night?
For the first hour, allow roughly 2 to 3 drinks per person, then about 1 drink per person per hour. Prepare snacks before setup is finished and keep extra servings available for the planned breaks.
When should I test the karaoke equipment?
Complete the full sound and screen test on the event day, at least 2 hours before arrival. Check the microphones, speakers, laptop, HDMI cable, song lyrics and power connections in the room where the karaoke will take place.
