Karaoke Night Checklist

A karaoke night runs smoothly when the technical setup is finished before guests arrive. Confirm the venue and equipment first, then collect dietary requirements, prepare the song list and organise food and drinks. On the day, allow time to collect the karaoke set, cool drinks, arrange the room and test every microphone. This checklist covers the 53 planning tasks and 39 items needed to keep singers moving and queues short.

Tips

  • Reserve and test the karaoke set before sending invitations. Check the laptop, projector, screen, speakers, mixer and microphones together, rather than discovering a missing cable on the day.
  • Prepare the song list at least 2–3 days before the event and download the tracks you will use. Keep a separate sign-up list so each singer can add a song without interrupting the performance.
  • Finish the room and equipment setup before opening the buffet. Place the screen where every seat can see it, connect the microphones and speakers, and tape or cover every cable guests could cross.
  • Cool drinks as soon as you arrive. Use separate serving areas for drinks and food, and keep reusable glasses, plates, cutlery and serving utensils together so guests do not block the singing queue.
  • Allow at least 30 minutes before doors open for ventilation, equipment checks and last-minute changes. Test both microphones, play one complete song through the speakers and confirm the first five singers are ready.

Frequently asked questions

How early should I set up a karaoke night?
Start at least 90 minutes before guests arrive. Reserve the first 30 minutes for opening and ventilating the room, arranging tables and chairs, and placing the screen and lighting; use the remaining hour to connect and test the equipment.
How many karaoke songs should I prepare?
Prepare around 12–15 songs per hour of planned singing time, then add a small reserve. A four-hour karaoke night therefore needs roughly 50–60 available tracks, with the final number adjusted for breaks, food and group songs.
When should I send karaoke night invitations?
Send invitations 2–3 weeks before the event and set an RSVP deadline about 7 days beforehand. Use the confirmed replies to collect dietary requirements, confirm attendance and estimate glasses, plates, drinks and snacks.
What karaoke equipment do I need for a party?
Plan for a karaoke set with a laptop, projector, screen, active speakers, mixer and at least two microphones. Also allow for extension cords, power strips, cable mats and gaffer tape, then test the complete setup before guests arrive.
