Illusion show checklist: what to arrange and when
An illusion show needs more than a performer and a stage. You need to confirm the technical setup, plan how guests move through the venue, and leave enough time for sound, lighting and props before doors open. This checklist covers the work from booking the venue and illusionist through invitations, catering and the final room setup. Use it to keep practical details—such as cables, microphones, dietary requirements and the loading area—from becoming last-minute problems.

Tips
- Ask the illusionist for technical requirements as soon as the booking is confirmed. Check the power, stage space, microphone setup and equipment list at least 2 weeks before the show.
- Plan guest movement before arranging the room. Mark the entrance, cloakroom, seating, stage and walking routes, then place barriers and directional signs where they are needed.
- Finish the guest information before ordering catering. Close registrations early enough to count meals, collect dietary requirements and order the right amount rather than guessing on the day.
- Schedule the technical test before guests arrive, not during reception. Allow at least 60 minutes to connect the mixer, active speakers, microphones, laptop, extension cords and lighting, then test every microphone.
- Keep the stage and loading area clear until all equipment and magic props are inside. Set up tables, chairs and the cloakroom only after deliveries and unloading are complete, so furniture does not block the working route.
Frequently asked questions
- How far in advance should I book an illusionist for an event?
- Aim to confirm the illusionist at least 8 to 12 weeks before the show, especially if you have a fixed date. Request the technical requirements immediately after booking so the venue and equipment can be checked in time.
- How long before an illusion show should the venue be set up?
- Allow 3 to 4 hours for unloading, furniture, decorations, lighting, sound and props. Reserve the final 60 minutes for a complete microphone, music and lighting test before doors open.
- How many drinks should I plan for an illusion show?
- For the first hour, plan on 2 to 3 drinks per guest, then about 1 drink per person for each additional hour. Add coffee, tea and water separately, and chill drinks before guests arrive.
- When should I collect dietary requirements for an illusion show?
- Ask for dietary requirements when guests register and set a response deadline 10 to 14 days before the event. Send the final numbers and requirements to the caterer immediately after that deadline.
