How to organize an adventure camp

Start by fixing the program, route and participant limit before buying supplies or sending invitations. Registration should cover dietary needs, consent forms and emergency contacts, because missing information becomes difficult to solve on the day. Build the schedule around arrival, group assignments, the safety briefing, outdoor activities and meal breaks. Leave enough time for route checks, equipment setup and weather changes rather than treating them as last-minute tasks.

Tips

  • Set the participant limit before opening registration, then divide people into groups with one named supervisor for each group. Prepare the group assignments before arrival so registration does not become a queue.
  • Check the route and forecast at least 24 hours before camp, and again on the morning itself. Mark the route on waterproof maps and keep a backup plan ready if visibility or conditions change.
  • Prepare consent forms, dietary requirements and emergency contacts in one registration file before the event. Keep a printed copy at the registration desk in case phones or internet access fail.
  • Test the portable sound system, power banks and lighting before participants arrive. Do this while setting up the registration area, tents, tables and activity stations, not after the welcome has started.
  • Set out water, fruit and food by activity blocks rather than all at once. For an outdoor day, use coolers and thermos flasks so refreshments remain available during the orienteering tour and other stations.

Frequently asked questions

How far in advance should I plan an adventure camp?
Start the main plan at least 6 to 8 weeks before the camp. Send invitations once the route, participant limit and program are defined, then close registrations early enough to process forms and create groups.
How many supervisors do I need for an adventure camp?
Assign at least one named supervisor to every activity group, with the final ratio based on participant age, route difficulty and local safety requirements. Complete the group list before participants arrive so no group leaves without supervision.
When should I check the adventure camp route and weather?
Check both at least 24 hours before the event and again on the morning of camp. Use the second check to confirm whether the route, outdoor stations, lighting and clothing plan still work.
What should happen during the adventure camp safety briefing?
Give the briefing before groups leave the base, allowing about 10 minutes for route boundaries, meeting points, hazards, emergency contacts and equipment rules. Demonstrate how participants should respond if they become separated from their group.
