- Start with the route, date and permissions. Apply for the route permit and check insurance before promoting the run, because changing the course after registration opens creates extra work.
- Open registration early and collect more than names. Record dietary requirements and medical contact details, then update the participant list at least once a week and again 48 hours before the run.
- Plan sponsor administration before distributing sponsor cards. Explain how money is handed in, record contributions as they arrive and send the payment procedure to participants before event day.
- Walk the full route with the traffic team before the event. Decide where each marshal, traffic cone, route arrow and kilometre marker goes; do not assume volunteers will work it out on the morning.
