  • Walk the complete route before publishing it, including the start and finish. Check how long each section takes, whether clues are visible, and whether lighting, access or weather could affect a checkpoint.
  • Design the puzzles around the route rather than adding them at the end. Prepare the answers and score sheet at the same time, and test every task with at least one person who has not seen it before.
  • Brief volunteers with a written checkpoint plan at least 30 minutes before teams arrive. Give each person the location, task instructions, answer rules, timing method and what to do if a team gets stuck.
  • Pack one labelled envelope or storage box per team. Include the printed puzzles, forms, pencils, pens and any task materials, then prepare a separate spare pack with extra copies and writing supplies.
  • Schedule setup backwards from the start time: allow time for route signs, checkpoint materials, tables, registration and the final location. Chill drinks before participants arrive and test the speaker, lights, extension cords and power strips before the briefing.
