How to organize a raft race

A raft race needs more than rafts and a stretch of water. Start by fixing the venue, route and safety responsibilities, then collect registrations and dietary requirements before assigning teams. In the final week, confirm materials, volunteers and competition rules; on the day, keep registration, construction, racing and catering separate. The most common delays come from missing safety equipment, unclear finish-line procedures and rafts that have not been checked before launch.

Tips

  • Set the course before assigning teams. Mark the start, turns and finish with course buoys and anchor weights, then walk the route with the safety team at least one day before the race.
  • Give raft construction a fixed time limit and inspect every raft before it reaches the water. Check the raft frames, plastic barrels, ratchet straps and rope connections rather than relying on a visual check from a distance.
  • Put safety roles in writing before invitations go out. Assign named volunteers to the water, registration, course, first aid and communication, and test the waterproof walkie-talkies and whistles before participants arrive.
  • Prepare the registration table separately from the catering point. Print the team overview, keep waterproof storage bags available for valuables and leave a clear route from registration to the raft-building area.
  • Plan the final two hours around setup, not shopping. Chill drinks, prepare food, set up tents and tables, place life jackets and helmets at the launch area, and keep first aid kits and throw lines immediately accessible.

Frequently asked questions

How far in advance should I plan a raft race?
Start at least 6 to 8 weeks ahead. Reserve the venue first, then send invitations, process registrations and confirm volunteers and safety responsibilities before ordering missing supplies.
How many volunteers do I need for a raft race?
Plan for at least 1 volunteer at registration, 2 at the course and 2 on water safety, plus 1 coordinator and 1 first-aid contact. Add more people if teams build rafts at the same time.
When should I check the raft race equipment?
Check all materials 7 days before the event and repeat the safety inspection on the morning itself. Test communication equipment, inspect straps and ropes, and place safety equipment before participants begin building.
How long does a raft race event take?
Allow roughly 4 to 6 hours for registration, raft construction, safety briefing, racing and food. Schedule registration at least 30 minutes before construction starts so late arrivals do not delay the teams.
