How to organize a mountain bike ride

Start with the route, not the invitations. Set the distances, confirm access with landowners and request any required permission before opening registration. Once you know the route is usable, collect rider details, prepare safety information and plan the start and finish areas around the expected number of participants. The details people often leave too late are route checks, printed emergency contacts, charged radios, spare bike parts and chilled food and drinks.

Tips

  • Check the route twice: once during planning and again shortly before the ride. Mark hazards such as loose ground, steep drops or crossings, then place route arrows, cones or barrier tape where riders could go wrong.
  • Keep registration information in one place and close it early enough to print the participant list, bib numbers, wristbands and route packs. Ask for dietary requirements during registration rather than trying to collect them at the start.
  • Create a repair point at the start or finish with pumps, repair stands, multitools, tyre levers, spare inner tubes and replacement chains. A small mechanical problem should not require a rider to abandon the route.
  • Prepare the safety handover before event day: print emergency numbers and directions, charge the walkie-talkies and power banks, and assign people to route or support positions. Give each responsible person a clear contact method.
  • Set up the start and finish so riders can move through them without crossing the bike parking or refreshment area. Put up signs, build the bicycle racks and prepare cooled drinks, soup, bread, cups and plates before the first riders arrive.

Frequently asked questions

How far in advance should I plan a mountain bike ride?
Start route planning and permission requests at least 6 to 8 weeks before the ride. Open registration only after access, distances and the reserve starting location are confirmed.
How many route arrows do I need for a mountain bike ride?
Count one arrow for every turn, junction and hazard approach, then add roughly 15% spare arrows. Walk or ride the route again shortly before the event because signs can be moved or disappear.
What safety equipment is needed for a mountain bike ride?
Prepare first aid kits, emergency blankets, whistles, reflective vests and charged walkie-talkies. Print emergency numbers and directions, and assign at least one person to coordinate incidents at the start or finish.
When should I prepare food and drinks for a mountain bike ride?
Buy supplies and chill drinks the day before, then prepare soup and bread on the event day early enough for serving before riders finish. Allow at least 60 minutes to set up the tables, coffee machines, kettles, cups and plates.
